The Short Answer
A newspaper insert suits hiring when the people you need live near the workplace and do not search job portals: factory and warehouse staff, security guards, retail and hospital staff, delivery riders. Print the role, the monthly in-hand salary, the shift, the walk-in date and address, and a "no fee at any stage" line, and drop it two to three days before the walk-in in the pin codes within commuting distance. Fifty thousand A5 copies cost ₹60,000 plus GST.
Key Takeaways
- Inserts reach the job seekers portals miss: people who read a vernacular daily at home, and the family members who often decide whether a job is worth taking.
- Recruitment is the one category where a weekday drop beats the weekend, because the reader can act the same working day. Drop on Wednesday or Thursday for a Saturday walk-in.
- Fill the run from the localities within an hour's commute of the gate, starting with the rented-room and workers' colonies around the industrial estate, not the whole city.
- The sheet that fills a walk-in shows the role, the monthly in-hand salary, the shift, what to bring, the date, time and address with a landmark, a WhatsApp number and a plain line that no fee is charged.
- Fifty thousand A5 copies cost ₹60,000 plus GST. On the general 0.5 to 2 percent response band we observe, that is 250 to 1,000 enquiries, or ₹60 to ₹240 per enquiry.
Why do newspaper inserts work for recruitment?
Job portals and social ads work well for office roles, where candidates keep an updated profile and search every week. They work less well for the roles that keep a plant, a warehouse or a store running: machine operators, helpers, pickers and packers, security guards, housekeeping staff, ward attendants, sales associates and delivery riders. Many of these candidates are not on a portal at all, or have a profile they last opened two jobs ago. Three things make the insert fit this kind of hiring.
It reaches the candidate at home, in their language. A Hindi, Marathi, Gujarati or Tamil daily is read in the house where the job seeker lives. Our comparison of English and vernacular newspapers for inserts explains why the regional edition usually reaches more of the households a blue-collar hiring drive needs.
It reaches the family, not only the candidate. A parent who reads about a warehouse job with a fixed salary and a provident fund deduction hands the sheet to a son or daughter who would never have searched for it. A sheet on the table is discussed in a way a phone notification is not.
The catchment is a set of pin codes. Few people take a shift job that needs two hours of travel each way. A newspaper vendor network delivers by pin code, so the run can be confined to the areas within commuting distance of the gate. Our pin-code targeting guide explains how to choose them.
In the campaigns we have run since 2020 across 30+ cities, recruitment behaves like admissions rather than like a retail offer: the response starts on the morning of the drop, because the reader can call or turn up the same week, instead of building slowly over the following weeks.
Which employers should use a hiring insert?
The insert earns its cost when an employer needs a lot of people from one area at once:
- Factories and plants refilling lines or adding a shift.
- Warehouses and fulfilment centres before a seasonal peak.
- Security and facility management agencies staffing a new contract.
- Retail chains, supermarkets and showrooms opening a store. Our store-opening guide covers the customer side of the same launch.
- Hospitals and nursing homes hiring nurses, attendants and technicians. Our healthcare insert guide covers patient-facing campaigns.
- Delivery and logistics fleets hiring riders for a city or a zone.
It is a poor fit for one or two specialist roles. A single accountant or software engineer is better found through a portal or a referral, because 50,000 households is a very wide net for one person.
When should a hiring insert drop?
Pick the day for the walk-in first, then drop two to three days before it. Our guide to the best days for newspaper insertions favours the weekend for most retail offers, but notes that recruitment is the exception, because a reader can act on it the same working day. For a Saturday walk-in, a Wednesday or Thursday drop gives the candidate time to arrange leave, collect documents and plan the journey, without so much time that the sheet is forgotten. Then match the drive to the hiring season.
After Diwali and Chhath. Many factory and warehouse workers travel home for Diwali, which falls on Sunday 8 November 2026, and in the eastern belt for Chhath on Sunday 15 November 2026. Not all of them return on the same date, and plants can find gaps on the line in the second half of November. A walk-in on Saturday 21 November 2026 with a drop on Wednesday 18 or Thursday 19 November lands as those gaps show up.
January, after the new year. Retail, hospitality and many service employers rebuild teams after the festive and wedding season. A walk-in on Saturday 9 January 2027 suits a drop on Wednesday 6 or Thursday 7 January.
April, the new financial year. New budgets, new contracts and new branches often begin with the financial year. A walk-in on Saturday 3 April 2027 suits a drop on Wednesday 31 March or Thursday 1 April.
Before your own peak. A warehouse hiring for a festive peak, or a security agency starting a contract on the first of the month, should work back from the start date and leave two weeks for interviews, documents and training. Our seven-day insertion campaign timeline covers the lead time from artwork to drop.
Which pin codes should a hiring drive cover?
The 50,000-copy minimum per run is a good fit for hiring, because a large walk-in needs a wide pool, but the run still has to stay inside the commuting area.
- Start at the gate and work outward. Mark the plant, warehouse or store on a map and draw the area within about an hour by bus, shared auto or two-wheeler.
- Weight the run toward where candidates live. Rented-room localities, workers' colonies, villages on the edge of an industrial estate and older dense neighbourhoods usually hold more job seekers per thousand copies than a gated society nearby.
- Follow the transport. A locality on a direct bus route can be farther out than one with no route, and still be within commuting distance.
- Split a multi-site employer by site. A retail chain hiring for three stores should run three pin-code clusters, each with the address of its own store, rather than one city-wide sheet.
Our guide to how newspaper distribution works in Indian cities explains how vendors map onto pin codes, which helps when you need to drop only a few clusters.
What should a recruitment insert say?
The candidate decides from the sheet whether the journey to the walk-in is worth making. Answer every question they would otherwise have to call to ask.
- The role in plain words, largest. "Machine operators and helpers" rather than "Associate, Production".
- The monthly in-hand salary. Print the take-home figure as a range in rupees per month, and say separately whether provident fund, ESI, overtime, meals or transport are on top. A line in the form "₹16,000 to ₹19,000 in hand, plus PF and ESI" is read and believed in a way "attractive salary" is not; the figures here only illustrate the format, so print your own.
- The shift and the location. Day or rotating shifts, hours, and the work address with a landmark.
- Eligibility. Education, experience, an age range only where the job genuinely requires one, and any licence, such as a two-wheeler licence for riders.
- What to bring. Identity proof, education certificates, photographs, and a bank passbook if you will open salary accounts on the day.
- The walk-in date, time and address. Print it once, large, with a landmark and the nearest bus stop.
- A WhatsApp number. Many candidates will message before travelling. A number that answers within the day turns an enquiry into a visit.
- The employer's identity. The registered company name and address and, for a staffing agency, the client or industry you are hiring for.
- A plain line: "No fee is charged at any stage." Fake job offers that ask for a registration or training fee are common enough that a genuine employer gains by saying it outright.
Write it in the language of the edition. Our regional-language copy guide covers translation and transcreation, and our guide to designing an insert people keep covers type size and layout.
What rules apply to a recruitment insert?
- Do not specify a sex for the same work. Section 3 of the Code on Wages, 2019 prohibits discrimination on the ground of sex in recruitment for the same work or work of a similar nature, except where a law prohibits or restricts the employment of women in that work. Write "operators" and "helpers", not "male operators".
- Overseas jobs need a registered recruiting agent. Under the Emigration Act, 1983, recruitment for jobs abroad can only be carried out by a recruiting agent holding a registration certificate from the Protector General of Emigrants. Print the registration number; job seekers are advised to verify it on the eMigrate portal of the Ministry of External Affairs. Placing students in universities abroad is a separate trade with its own rules; our study-abroad and IELTS insert guide covers it.
- Do not overstate pay or promises. A salary figure that applies only with maximum overtime, or a "guaranteed job" line, is a misleading claim under the ASCI code and will cost you trust at the walk-in.
- Point candidates to verification. A line telling candidates to report anyone who asks for money in your name to the national cybercrime helpline, 1930, or cybercrime.gov.in protects them and your brand.
Vacancies can also be listed free on the government's National Career Service portal. It is worth doing alongside the insert, not instead of it.
Which insert format and budget suit hiring?
A5 at ₹1.20 per copy suits a single walk-in for one or two roles. Fifty thousand copies cost ₹60,000 plus GST, all-inclusive of printing, insertion and transport.
A4 at ₹1.50 per copy suits several roles, several sites, or an employer that wants room for a salary table and the documents list. Fifty thousand copies cost ₹75,000 plus GST.
A2 at ₹2.00 per copy is rarely needed for hiring. It suits a large employer listing many roles across a region, such as a new plant hiring for every department. Our A2, A4 and A5 comparison sets out what each size holds, and the A5 newspaper insertion page gives the specification.
Rates exclude GST, and the 50,000-copy minimum applies per run. Our guide to the minimum order explains how a smaller employer can share a run.
How much does a hiring insert cost per candidate?
No hiring-response benchmark for newspaper inserts is published in India, and we do not have one to offer. The general band we observe across campaigns with a clear call to action is 0.5 to 2 percent of inserted copies producing a direct response. For a hiring sheet, the response is a call, a WhatsApp message or a candidate at the walk-in. For one 50,000-copy A5 drop:
| Response | Enquiries from the sheet | Cost per enquiry |
|---|---|---|
| 0.5 percent | 250 | ₹240 |
| 1 percent | 500 | ₹120 |
| 2 percent | 1,000 | ₹60 |
Scenarios on the agency's general 0.5 to 2 percent response band; not a category benchmark.
Measure the cost per person who joins and stays a month, not per enquiry: that is the number to compare with a staffing agency's fee. Our cost per lead guide shows the calculation.
How do you measure a recruitment insert?
- Give the drive its own WhatsApp number, printed only on the insert. Our missed call and WhatsApp guide covers the setup.
- Ask at the walk-in desk. One question on the registration form, "Where did you hear about this job?", separates the insert from referrals and portals.
- Code each pin-code cluster. A QR code that opens a pre-filled WhatsApp message with a cluster code tells you which localities sent candidates. Our QR tracking guide explains it.
- Track to joining and to day 30. Enquiries, walk-ins, offers, joiners and those still working after a month. The last figure decides whether to repeat the cluster.
- Check delivery first. Confirm the copies reached the pin codes booked with the distribution certificate before judging the response.
Recruitment insert checklist
- Fix the walk-in date, then book the drop for the Wednesday or Thursday before.
- Map the pin codes within an hour's commute of the gate, weighted toward where candidates live.
- Print the role, in-hand salary, shift, eligibility, documents, walk-in details, WhatsApp number, employer identity and "no fee at any stage".
- Do not specify a sex for the same work, and print the registration number for overseas recruitment.
- Choose A5 for one walk-in, A4 for several roles or sites.
- Code the response and track it to day 30.
