The Short Answer

A newspaper insert suits a study-abroad consultancy or an IELTS and PTE coaching centre because the decision to study abroad is a family decision, made at home, around a fixed university calendar. Drop an A4 sheet with your countries, courses, batch dates, fees and licence number in the pin codes around your office on the weekend before a counselling day, and track bookings. Fifty thousand A4 copies cost ₹75,000 plus GST.

Key Takeaways

  • Studying abroad is often the largest spend a family makes after a house, and parents usually decide it with the student at home. An insert reaches both of them together, which a reel aimed at the student does not.
  • Plan against the university calendar: a counselling-day drop in the second half of November for the September 2027 intake, a January drop for late applicants, and a drop the weekend after class 12 results for next year's IELTS and PTE batches.
  • Cover the pin codes your past students came from first, then the family localities and college areas within an hour of your office. That is where the 50,000-copy minimum earns its cost.
  • The sheet that brings families in shows the countries and courses you handle, what your service includes and what it costs, IELTS or PTE batch dates and fees, the counselling day details, a WhatsApp number, your registered address and, in Punjab, your licence number.
  • Fifty thousand A4 copies cost ₹75,000 plus GST. On the general 0.5 to 2 percent response band we observe, that is 250 to 1,000 enquiries, or ₹75 to ₹300 per enquiry.

Why do newspaper inserts work for study-abroad consultants?

Digital ads reach the student. The insert reaches the household that will pay for the plan, and three things make that matter.

The parents decide and pay. A degree abroad means tuition, living costs, a visa, a flight and, for many families, an education loan. The student may start the search on a phone, but the decision is made at the dining table with the parents. A sheet that lands on that table on a Sunday morning, with costs and dates printed on it, joins that conversation.

Trust is the whole sale. Families have heard of agents who took a fee and disappeared. A printed sheet with a registered address, a licence number and named staff reads as more accountable than an ad that vanishes from a feed. It also gives the parent something to keep and check.

The catchment is local. Families want to sit across a desk from the counsellor, at least once. Most will travel to an office within an hour, which is a set of pin codes a newspaper vendor network can deliver to. Our pin-code targeting guide explains how to choose them.

In the education campaigns we have run since 2020 across 30+ cities, the pattern our schools and coaching guide describes holds: enquiries arrive in a burst on the morning of the drop and the two or three days after it, so the phones must be staffed from the first hour.

Who should use a study-abroad insert?

  • Study-abroad and admissions consultancies filling a counselling day, a university visit or a scholarship test.
  • IELTS, PTE, TOEFL and Duolingo English Test coaching centres starting new batches.
  • Education loan providers and banks with a student-loan desk. Our banking and insurance insert guide covers the financial disclosure rules.
  • Visa and documentation services, provided they make clear that visa decisions are taken by the embassy, not by them.

It is a poor fit for a consultancy that only places postgraduate engineers from one college. A campus talk or an alumni network reaches that audience more cheaply than 50,000 households.

When should a study-abroad insert drop?

Work back from the university calendar, not from when your brochure is ready.

Second half of November, for the September 2027 intake. Many universities in the United States, the United Kingdom, Canada and Australia take most applications for the September intake between November and February, and families who have not started by December run short of time for tests, documents and loans. Diwali falls on Sunday 8 November 2026, so the weekends after it are clear of festival offers. A drop on Saturday 21 or Sunday 22 November 2026 suits a counselling day or education fair on Saturday 28 or Sunday 29 November. Our exhibition and expo guide covers how to fill an event venue.

January, for late applicants and the next intakes. A drop on Saturday 9 or Sunday 10 January 2027 catches families who decided over the winter holidays, and those looking at intakes later in 2027. Our Christmas to Republic Day window guide explains how crowded those weeks get.

The weekend after class 12 results, for next year's batches. CBSE usually publishes class 12 results in May, and many state boards in April or May. The weekend after your board's results is when families start planning for the following year, which is the moment to announce IELTS and PTE batches and early counselling.

Give yourself time. Allow seven to eight working days from approved artwork to doorstep; our seven-day campaign timeline sets out each step.

Which pin codes should a consultancy cover?

  1. Start with your own records. List the pin codes your last two years of students came from. Those localities are proven, and their neighbours are the best place to grow.
  2. Add family localities within an hour of the office. Residential areas with households where children are in classes 11 and 12 or in college respond better per thousand copies than commercial areas.
  3. Add college and coaching areas. Students who are already in an undergraduate course are the core of the postgraduate market.
  4. Split by branch. A consultancy with offices in two cities should run two clusters, each with its own address and counselling day.

Study abroad is concentrated in certain regions. Punjab and Chandigarh, Gujarat, Kerala, Andhra Pradesh and Telangana, Delhi and Pune all have strong demand. Our city pages for Chandigarh, Ahmedabad, Vadodara, Hyderabad and Kochi list the editions and localities we cover.

Choose the edition by who reads it in the house. Parents often read the regional daily while the student reads an English one, so a run split between them reaches both. Our comparison of English and vernacular newspapers for inserts explains how to split it.

What should a study-abroad insert say?

Answer the questions a parent would ask at the first meeting.

  • The countries and courses you handle, largest. "UK, Canada, Australia and Ireland: undergraduate and master's" says more than "global education partner".
  • What your service includes and what it costs. Say plainly whether counselling is free, whether you charge a service fee and when, and what the fee covers: shortlisting, applications, statement of purpose, visa file.
  • The real cost of the plan. A line such as "Ask us for a full cost sheet: tuition, living costs and visa fees" signals honesty. Do not print one country's cost as if it applies everywhere.
  • IELTS or PTE batch details. Start dates, timings, duration, fees and whether mock tests are included.
  • The counselling day. Date, time, venue with a landmark, and whether families must book.
  • Universities only where you have an agreement. Name an institution only if you hold a signed representation agreement with it. Calling yourself an "authorised" or "official" representative without one is a misleading claim.
  • Who you are. Registered company name, office address, counsellors' names and, in Punjab, the licence number.
  • A WhatsApp number that answers the same day. Many parents will message before visiting.

Our guide to designing an insert people keep covers type size and layout, and the regional-language copy guide covers writing it for the edition.

What rules apply to study-abroad and IELTS advertising?

  • No visa or admission guarantees. Under the Consumer Protection Act, 2019 and the Central Consumer Protection Authority's Guidelines for Prevention of Misleading Advertisements and Endorsements, 2022, a claim such as "100 percent visa success" or "guaranteed admission" that you cannot back up is a misleading advertisement. Visa decisions are made by the embassy or high commission.
  • IELTS and PTE coaching has its own guidelines. The CCPA's Guidelines for Prevention of Misleading Advertisement in Coaching Sector, issued in November 2024, bar claims such as 100 percent selection and require written consent, taken after the result, before a successful student's name, photograph or score is used. Print a student's band score only with that consent.
  • In Punjab, hold and print a licence. The Punjab Travel Professionals (Regulation) Act, 2012, as amended in 2014, requires travel agents, immigration consultants and IELTS coaching institutes to hold a licence from the district administration. Districts have instructed licence holders to show the licence number in their advertisements, and licences have been cancelled for violations.
  • Work visas are a different trade. Recruiting people for jobs abroad needs a registered recruiting agent under the Emigration Act, 1983. Our recruitment insert guide covers it.
  • Substantiate every claim. The ASCI code requires that claims about results, rankings or scholarships can be backed up when asked.

Which format and budget suit a consultancy?

A4 at ₹1.50 per copy is the default. It holds a country and course table, the service fee, batch dates and the counselling day on one side. Fifty thousand copies cost ₹75,000 plus GST, all-inclusive of printing, insertion and transport. The A4 newspaper insertion page gives the specification.

A5 at ₹1.20 per copy suits a single counselling day or an IELTS batch announcement. Fifty thousand copies cost ₹60,000 plus GST.

A2 at ₹2.00 per copy suits a large consultancy running a city-wide education fair with many universities. Our A2, A4 and A5 comparison sets out what each size holds.

Rates exclude GST, and the 50,000-copy minimum applies per run. Current rates are on our pricing page.

How much does a study-abroad insert cost per enquiry?

No study-abroad response benchmark for newspaper inserts is published in India, and we do not have one to offer. The general band we observe across campaigns with a clear call to action is 0.5 to 2 percent of inserted copies producing a direct response. For one 50,000-copy A4 drop at ₹75,000 plus GST:

These are scenarios on the agency's general band, not a category benchmark. Judge the drop on files signed and batches filled, not on calls alone. Our cost per lead guide shows the calculation.

How do you measure a study-abroad insert?

  1. Give the campaign its own WhatsApp number, printed only on the insert. Our missed call and WhatsApp guide covers the setup.
  2. Code each pin-code cluster with a QR code that opens a pre-filled message. Our QR tracking guide explains how.
  3. Ask at the counselling desk. One question, "Where did you hear about us?", separates the insert from referrals and online ads.
  4. Track for a full intake. A study-abroad decision can take three to six months, so count counselling visits, applications, IELTS enrolments and files signed through to the deadline before deciding whether to repeat a cluster.
  5. Check delivery first with the distribution certificate before judging the response.

Study-abroad insert checklist

  1. Fix the counselling day or batch start, then book the drop for the weekend before.
  2. Map the pin codes your past students came from, then family and college areas within an hour.
  3. Print countries, courses, service fee, batch dates, counselling day, address, counsellors and WhatsApp number.
  4. Remove every guarantee, name only universities you have agreements with, and print your Punjab licence number where it applies.
  5. Choose A4 for a full offer, A5 for one event.
  6. Track enquiries through to files signed over the whole intake.
