The Short Answer

A dealership gets the most from newspaper inserts when each drop has one job: a launch weekend, an exchange mela, a service camp for existing owners, or a festive delivery push. Drop on the Friday or Saturday before the event, cover the localities the showroom actually sells into, and give a phone or WhatsApp number that a named salesperson answers.

Key Takeaways

  • A dealership runs four different insert briefs, not one: new-model launch, exchange or loan mela, service camp, and the festive delivery push. Each needs its own timing, radius and call to action.
  • Vehicle buying in India is heavily seasonal. FADA's data for the 42-day 2025 festive period recorded 52,38,401 vehicles retailed, 21% more than the same window in 2024, so the weeks around Navratri, Dhanteras and Diwali carry the most intent.
  • Car showrooms draw from a wide catchment, often ten kilometres or more. Two-wheeler showrooms draw from a tighter, more local area, so their drops should be denser and closer.
  • Service-camp inserts reach existing owners by locality. They are a low-cost way to fill workshop bays on a slow weekend and to start exchange conversations.
  • Rates are A2 ₹2.00, A4 ₹1.50 and A5 ₹1.20 per copy, all-inclusive of printing, insertion and transport, GST extra, with a minimum of 50,000 copies per drop.

Why do automobile dealerships still use newspaper inserts?

Because a vehicle is a family decision made at home. A car or a scooter is usually discussed over several evenings, with the price, the EMI, the exchange value of the old vehicle and the colour all argued out at the dining table. A loose insert that falls out of the morning paper sits on that table for days. A display advertisement on page nine goes out with the paper the same evening.

An insert also has room. A dealer can print the starting price for each variant, a down payment and monthly EMI example, the exchange bonus, the finance partners, a map to the showroom and a test-drive number on a single A4 or A2 sheet. That is the information a buyer actually wants before visiting, and it rarely fits in a social post or a radio spot.

We have run 500+ insertion campaigns since 2020 across 30+ Indian cities, and showroom briefs share one trait with every other retail brief we see: the sheet works best when it asks the reader to do one specific thing on one specific weekend. Cities where the automobile trade is a large part of the local economy, such as Chennai and Pune, list it among their key advertising industries for that reason.

Which four insert briefs does a dealership actually run?

Dealer briefs fall into four types, and treating them as separate campaigns is the single biggest improvement a showroom can make:

The four dealership insert briefs
BriefWho it targetsBest timingWhat the sheet must carry
New-model launchHouseholds likely to upgrade in the showroom's catchmentFriday or Saturday of launch weekendModel, starting price, launch offer, test-drive number
Exchange or loan melaOwners of older vehicles, first-time buyers needing financeTwo to three days before the melaMela dates, exchange bonus, finance partners, documents to bring
Service campExisting owners of your brand, by localityThe weekend before the campFree checks offered, labour or parts discount, booking number
Festive delivery pushFamilies planning a purchase for an auspicious dateTen to fourteen days before the dateDelivery-by-date promise, festive offer, booking amount

The rest of this guide takes each brief in turn.

How should a new-model launch insert be timed?

Drop it on the Friday or Saturday morning of the launch weekend. A launch is an event with a fixed date, much like a store opening, and the same rule applies: an insert that arrives a week early is read as news and forgotten, while one that lands on the weekend morning turns into a family outing to the showroom.

Two cautions are specific to automobiles:

  1. Do not print an on-road price. Ex-showroom prices are set by the manufacturer, and on-road prices change with state road tax, registration and insurance. Print "starting from" with the ex-showroom figure the manufacturer has confirmed, and give a number for the on-road quote.
  2. Confirm stock and demo vehicles before you print a test-drive offer. A reader who calls and is told the demo car arrives next week is a lost lead.

For a car launch, an A4 glossy sheet with one strong product image is usually the right format; our A4 newspaper insertion service covers the paper options. Two-wheeler launches often suit A5, distributed more densely, because the buyer is more local and the decision is faster.

When does an exchange or loan mela insert work?

An exchange mela or a loan mela is a short, dated event, usually a weekend, where finance partners and used-vehicle evaluators sit at the showroom. The insert's job is to bring in people who have been putting off a purchase because of the down payment or the old vehicle in the garage.

Drop two to three days before the mela, not on the morning itself. Owners need time to find the registration certificate, insurance papers and service records, and a sheet that lists the documents to bring saves both sides a wasted visit. Name the finance partners and print a sample EMI clearly labelled as an example, with the tenure and the down payment it assumes.

How do service-camp inserts reach existing owners?

A service camp offers free checks, a labour discount or a parts offer for a weekend. The people you want are owners of your brand who already live near the workshop. You cannot target them by name with an insert, but you can target the localities where your sold vehicles are concentrated, and most dealers know those localities from their own delivery records.

Pick the pin codes with the most deliveries over the past few years, plus those closest to the workshop, and drop the weekend before the camp. Our guide to pin code targeting with newspaper editions explains how distribution areas are matched to localities.

Service camps are also where many exchange conversations start. An owner who brings a seven-year-old car in for a free check is a natural candidate for the exchange offer, so print both on the same sheet: the service offer on the front, the current exchange bonus on the back.

How should a two-wheeler dealer plan differently from a car dealer?

The buyer, the catchment and the decision speed are all different:

  • Catchment. A two-wheeler showroom typically sells within a tighter radius than a car showroom, because the buyer rides it home and services it nearby. Cover fewer areas, but cover them thoroughly.
  • Decision speed. A scooter or motorcycle purchase is often decided in days, not weeks. A single drop timed for the weekend usually works; a car buyer may need a second drop ten to fourteen days later.
  • Format. A5 suits two-wheeler offers well: one model, one EMI line, one number. A car sheet showing several variants benefits from A4 or A2.
  • Audience. Two-wheeler buyers include students and first-time earners. A Hindi or regional-language daily often reaches them better than an English one; see English vs vernacular dailies.

When is the post-Diwali delivery push, and how should it be planned?

Many families book a vehicle during Navratri or before Dhanteras and take delivery on an auspicious date. In 2026, Dhanteras falls on Friday 6 November and Diwali on Sunday 8 November. Our festival season planning guide lists the full set of 2026 dates and the booking lead times for metro editions.

The size of that window is visible in public data. The Federation of Automobile Dealers Associations (FADA) reported 52,38,401 vehicles retailed in the 42-day festive period of 2025, up 21% from 43,25,632 in 2024. Two-wheelers made up 40,52,503 of those, and passenger vehicles 7,66,918. FADA attributed part of the growth to the revised GST rates on vehicles that took effect on 22 September 2025. The point for a dealer is not the national total but the shape: demand is concentrated in a few weeks, and the inserts that matter most are the ones that land before the booking decision.

Plan the festive push as two drops:

  1. Booking drop, ten to fourteen days before Dhanteras, with a "book now, deliver on Dhanteras" promise and the booking amount.
  2. Post-Diwali drop, in the fortnight after Diwali, for families who missed the date or are waiting for year-end offers. The days after Diwali remain a strong window for vehicles.

Only promise a delivery date you can meet. Allocation from the manufacturer is not in the dealer's control, and a missed festive delivery is the kind of complaint that travels.

What response mechanism works best on a dealership insert?

A phone number answered by a named person, plus WhatsApp. Vehicle buyers want to ask a question before they visit: the on-road price for their variant, the waiting period, whether a colour is in stock. A missed-call number that triggers a callback within the hour works well in smaller cities, and a WhatsApp number lets the buyer send a photo of their old vehicle for a first exchange discussion. Our guide to missed-call and WhatsApp response for print campaigns covers how to set both up.

Use a different number, or a different QR code, for each drop and each locality group. That is the only way to know which areas and which briefs produced test drives and bookings. Track the cost per test drive and the cost per booking rather than the number of calls.

What does a dealership insert campaign cost?

The per-copy rate is the same nationwide: A2 ₹2.00, A4 ₹1.50 and A5 ₹1.20 per copy, all-inclusive of printing, insertion and transport, GST extra, with a minimum of 50,000 copies per drop. The current figures are on our pricing page.

Example dealership plans at published rates
PlanFormat and copiesCost before GST
Two-wheeler launch weekendA5, 50,000 copies₹60,000
Car launch weekendA4, 50,000 copies₹75,000
Service camp plus exchange offerA4, 50,000 copies₹75,000
Festive push, two dropsA4, 2 × 75,000 copies₹2,25,000

For a car dealer, a single booking can cover the cost of a whole drop, which is why the numbers that matter are the conversion steps: calls to test drives, test drives to bookings. Our guide to calculating insertion ROI and cost per lead walks through that arithmetic.

What mistakes do dealerships make with inserts?

  • One sheet for every purpose. A launch, a mela and a service camp printed on the same leaflet confuse the reader. One brief per drop.
  • Printing on-road prices. They vary by state, variant and insurance choice, and they change. Print the ex-showroom starting price and invite a call.
  • Promising exchange values or delivery dates you cannot control. Evaluations and allocations are uncertain; leaflets are permanent.
  • Covering the whole city for a two-wheeler showroom. Spend the copies densely in the localities you actually sell into.
  • Untracked numbers. Without a separate number or code per drop, the next season's budget is guesswork.

Where do these figures come from?

Festive retail totals are from FADA's press release on October 2025 and 42-day festive period vehicle retail data. The 2026 festival dates are the ones verified in our festival planning guide against published panchang listings. Rates are the agency's published all-inclusive rates. Everything else is planning guidance from our own 500+ insertion campaigns across 30+ Indian cities since 2020, not a measured industry benchmark. For how many households a given newspaper reaches, rely on Audit Bureau of Circulations certified circulation for the specific edition and the Indian Readership Survey from MRUC for readership context.
